A Vendor Management System is the system of record for how an organization buys from and manages suppliers. In enterprise programs it typically covers contingent workforce and services as well as goods: who is approved to work, what was requested, what was awarded, what was delivered, and what was paid.

How a VMS works
The lifecycle Auvora implements is:
Requisition → RFx → Supplier → Work order → Timesheet → Invoice → Settlement
- Requisition captures demand and routes approvals.
- RFx invites suppliers to quote. Auvora ranks L1, L2, and L3 on one record. See supplier-link RFx.
- Supplier records hold KYC, compliance documents, and contact paths.
- Work order / SOW binds the award to delivery.
- Timesheets and expenses record actuals for services work.
- Invoice and three-way match check invoice, order, and receipt before payment. See three-way match.
What a VMS is for
Procurement uses it to run events and keep an award trail. Finance uses it so invoices are not paid from a spreadsheet. Workforce teams use it for contractors and SOW work. Procurement software often means catalogues, POs, and AP for goods. A VMS is built around vendors and services work as well: onboarding, compliance, RFx, work orders, and timesheets.
